Our client, a leading engineering solutions firm, is currently seeking a Personal Assistant. This is a great opportunity for someone with previous PA experience to further their career with an an industry leading company. KEY RESPONSIBILITIES &accountabilities: Coordinate the diary of Director and schedule appointments and meetings for CEO and Directors as. required. Organise and maintain the key contact list of the company. Carry out all travel-related responsibilities and process all travel-related documentation. Liaison with Embassies, Consulates, Government Departments, Visa Processing companies etc. to process all visas, work permits, transfers etc. required for personnel travelling overseas and for those being mobilised to Ireland. To prepare all supporting documentation e.g. letters of invitation for visa processing as required. To be the only point of contact for all flight/transportation and accommodation bookings in the home office. To ensure that company policy is adhered to when booking accommodation and transportation. Liaison with the local Aliens Offices to organise all registration and extension of registration for personnel. To be proactive in ensuring that visas are kept updated once expired and to maintain a schedule in relation to this. To be proactive in keeping all travel-related costs to a minimum. Sales Administration. Prepare sales and marketing documentation in line with standard documentation. Assist in the preparation of prequalification documents. Ensure that all promotional documentation is kept up to date and is distributed to Clients as required. Coordinate Client meetings and Client entertainment on a planned basis. Prepare and submit letters to customers. Ensure that sales files are kept up to date. Become involved in and assist in the preparation of Proposals for the company. Use all sources of information, including newspapers, the internet, industry magazines etc. to research the market and identify business opportunities and to communicate information effectively to the sales and marketing team. Communications. Ensure that all relevant information obtained is managed properly and communicated effectively with the CEO and Directors. Ensure that CEO and Directors receive copy of daily correspondence, including e-mail, while travelling or while they are out of the office. Daily contact with Director with relevant updates and action points. Manage sign off requested in a controlled and timely manner in line with Company policies and procedures. Managing all forms of incoming mail, including electronic. Replying, taking action, filing and forwarding where appropriate. Meetings. Arrange meeting and schedules for internal & external attendees. Attend meetings as required minute taking and follow through on attendees action points. Ensure latest presentations are distributed to teams. Up to date reports accessible on IT system. TOF – Target Order Focus for each of the jobs on the business plan, for Director when travelling. Produce and maintain a schedule of meetings/conference calls. Assist with the preparation of agendas and the collation of relevant papers. Project Reports. Ensure that all project reports are filed correctly and are well organised. Ensure monthly reports are completed on time. KNOWLEDGE & EXPERIENCE: Essential Requirements. Degree/Professionally Qualified. English Language. Excellent communication skills both written and verbal. Excellent working knowledge of It packages including Microsoft word excel and power point. Proven experience in a fast past environment Capable of working to tight deadlines. Strong administration, and interpersonal skills, and have a commercial approach. Min 3 years’ experience as a senior management PA.
